Draft for legal review

Privacy policy

This draft explains the proposed collection and sharing of enquiry information. It must be reviewed, customized and approved before the request form goes live.

DRAFT — NOT LEGAL ADVICE. Review and replace placeholders with a BC privacy lawyer before accepting enquiries or publishing as a final policy.

Draft prepared October 18, 2026. This text describes an intended operating model, not a claim that every system is already configured.

1. Who operates the service?

Valley Home Fix is a planned independent home-repair referral service serving British Columbia. Legal operator / registered business name: [LEGAL_OPERATOR_NAME]. Privacy officer: [PRIVACY_OFFICER_NAME]. Privacy enquiries: [PRIVACY_CONTACT_EMAIL]. Mailing address or other legally sufficient contact information: [BUSINESS_CONTACT_DETAILS]. These must be completed before launch.

2. What information may we collect?

When the request form is enabled and you submit it, we intend to collect your first name, phone number, optional email, selected city, requested trade, description of the problem, and a record of your consent. The website host or form provider may process technical data such as IP addresses, timestamps and anti-abuse information. Please do not include medical, financial or unrelated sensitive personal information in the description.

3. Why we use it

The intended purposes are to receive and evaluate your requested introduction, contact you about that enquiry if necessary, transfer it to suitable participating companies as you authorized, respond to privacy requests, keep reasonable records of consent, prevent misuse, and meet legal obligations. We do not use a repair enquiry to enrol you automatically in a promotional mailing list.

4. Sharing with independent local companies

With the separate unticked checkbox on the request form, you can agree that your request information may be provided to up to two independent local companies that might respond about the requested work. They are independent from Valley Home Fix and will have their own handling practices. We should identify and document specific recipient businesses in the operational system, and provide recipient details on reasonable request. We will not represent you as having consented to unlimited sharing or unrelated marketing.

5. Website hosting and service providers

The planned website will be hosted on Cloudflare Pages. When activated, the selected form provider will receive the details you submit. Form service/provider: [FORM_PROVIDER_NAME_AND_PRIVACY_LINK]. Other service providers: [LIST_ACTUAL_TOOLS]. Provider locations and cross-border processing must be assessed and explained accurately once those services are configured.

6. Cookies and analytics

The static website in this package does not load third-party advertising pixels, Google Analytics, tracking cookies or embedded social widgets by default. Normal hosting/network logs may still exist. If you later enable analytics, reCAPTCHA, advertising or other tracking technologies, review consent requirements and update this notice before doing so.

7. Data protection and retention

We intend to limit access to those handling a request and use appropriate controls with hosting and service providers. Set a documented retention period for enquiries and consent records before launch: [FINAL_RETENTION_SCHEDULE]. Security methods and breach-response plans must be assessed against the actual configured services; no internet transmission can be promised risk-free.

8. Access, corrections, questions and withdrawal

BC private-sector privacy law may provide rights to ask about personal information, seek access and correction, and withdraw consent subject to legal and contractual limits. To make a request, contact [PRIVACY_CONTACT_EMAIL]. If your information was already sent to a separate contractor, it may also hold its own record; contact it directly as appropriate. We will follow applicable BC requirements when responding.

9. Updates

Once adopted, this policy should state its effective date and be updated when services, sharing practices or applicable rules change.
